Extended Registration Statuses

Sequel now tracks a full lifecycle of registration statuses, not just what happens at the event itself. You can see when someone was invited, waitlisted, pending approval, denied, or cancelled their registration, and that same detail can sync to your CRM.

Extended Registration Statuses give you full visibility into where each registrant stands, before, during, and after an event. Instead of collapsing everyone into a single "Registered" status until the event happens, Sequel tracks invited, waitlisted, and pending approval registrants as their own distinct statuses, and captures denied, declined, and cancelled registrations as well.

Each status is recorded and synced to your CRM the moment it happens, so your CRM reflects a registrant's actual state in real time rather than a single status applied after the fact.

The ten registration statuses

Before confirmation

  • Invited

  • Waitlisted

  • Pending Approval

  • Rejected: someone applied or was waitlisted and didn't get approved

  • Declined: someone was invited but never confirmed their registration

Confirmed

  • Registered

  • Cancelled: someone was confirmed as Registered and then withdrew

After the event

  • Attended

  • Attended On-Demand

  • No Show

These are tracked as distinct statuses because they mean different things for your reporting and follow-up.

Basic and Extended modes

You can choose how much of this detail syncs to your CRM, per integration:

  • Basic (default): The four standard statuses sync - Registered, Attended, No Show, Attended On Demand

  • Extended: every status syncs as itself, using the mapping you set up for that status.

If a status doesn't have a mapping in Extended mode, that sync fails visibly in the CRM Sync Log rather than silently doing nothing, and you can retry it once you've added the mapping.

What each CRM can represent

Not every CRM can hold every status, so behavior and setup differ by platform.

Salesforce

What syncs: All ten statuses sync natively in Extended mode. Campaign Member status fields support up to roughly 1,000 values per campaign, so there's no volume constraint here - this is the most straightforward of the three integrations.

Configuration:

  • The status values must already exist in your campaign's status picklist before you map them in Sequel.

    • Note: Sequel doesn't create picklist values on your behalf, so add any missing values in Salesforce first, then map them in the CRM Tab of the event.

  • If a mapped status doesn't have a matching picklist value in Salesforce, the sync fails and shows up in CRM Sync Logs with a Retry option once you've added the value.

Marketo

What syncs: All ten statuses sync, mapped to Program Member steps.

Configuration:

  • Marketo Program statuses are step-based and strictly forward-only - its API won't let a registrant move backward to an earlier step. Map your statuses in order, since Marketo enforces the sequence.

    • An appropriate order would be something like this:

Good to know:

  • If someone is un-cancelled, or moved back from Denied to Waitlisted or Registered, Marketo won't reflect that reversal - the record stays at the further-along step. This corrects itself once the event ends and final attendance statuses are pushed.

HubSpot

What syncs: HubSpot Marketing Events only support four built-in statuses: Registered, No Show, Cancelled, and Attended. This is a fixed platform limit, not a configuration option, so Invited, Waitlisted, Pending Approval, Denied, and Declined can't be represented as a marketing event status.

How the additional statuses are handled:

  • In Extended mode, these five statuses sync as contact-only updates: Sequel creates or updates the HubSpot contact with whatever property you've mapped in Settings.

  • Once that person is approved or accepts, the real "Registered" status fires and they're added to the marketing event at that point.

  • Rejected and Declined stay contact-only permanently - there's no later event status for them to resolve to.

  • Attended and Attended On-Demand both sync as HubSpot's single "Attended" status.

  • No Show is never sent to HubSpot by Sequel - HubSpot calculates that on its own.

Cancelling a registration

Attendees can cancel their own registration through a link you add to any registration email. Add the {{cancel_my_registration}} variable to the email (it isn't included in any default template, so you'll need to place it yourself).

Clicking it takes the attendee to a confirmation page; confirming marks them Cancelled and syncs that status to your CRM. From the same page, they can also un-cancel and rejoin the event.

Once someone is cancelled, they're removed from every scheduled email audience, including "all," so reminders stop going to them.
