In-Person Events: Build, communicate, and act on attendance data (NEW)

Manage invitations, attendance, and follow-up needs seamlessly with Sequel's In-Person Events for Field Teams and Hybrid Programs

Sequel's new In-Person module allows businesses to conduct successful in-person and hybrid events without data sacrifice.

ℹ️ This guide assumes you are somewhat familiar with Sequel's virtual offering and does not dover the basic flows of the tool. Please refer to our academy for basic training.

Setting up in-person events involves:

  • Deciding on invitation, approval, and waitlist options

  • Getting all your emails and landing page templates ready

  • Having a phone or tablet onsite to check-in attendees

  • Sending status data back to CRM

Pre-Work: Setting up Templates

Setting Up Landing Page

Sequel in-person events can be embedded on your website like virtual events but our landing page templates make it easier.

  1. Navigate to "Landing Pages" and select a starting template from the bottom section.

  2. Edit the design to include images, links, etc. to display.

  3. Add in template variables like start date, end date, etc. to make the template dynamic to each event to which the template will be applied. A full list can be found by clicking on the "Template Variables" button on top right of the editor.

  4. Save template and follow a naming convention for ease of use.

  5. You will select this from the in-person event.

Setup Event Management Emails

Templates for invitation, approval, rejected, waitlisted, etc. can be made dynamic to your event as well!

  1. Navigate to "Emails" area > Templates tab > select a starting point for ease.

  2. Add in template variables like qr_code, buttons, text, etc. Click on the "Template Variables" button to copy and paste the variables.

  3. Back on the Email tab, you can now select any variable as the default for that email type. This will flow through to events created.

Custom Emails

When it comes to events, especially live, in-person events, communication is key to getting everyone there. With the In-Person solution, you can create your own emails and schedule them at whatever interval you want.

You can also segment custom emails based on participant status:

Registration Setup: Invite and Approval Flows

Once you've done the pre-work of templates and landing pages, it's now time to create your event and setup registration.

Registration options include:

  • Invite-only

  • Approval needed

  • Waitlist enabled and max capacity

Invite-Only Event

For exclusive events where you want to invite participants to accept or reject the invitation, toggle on the "Invite" option in the registration tab.

This will enable a "Invite" button in the Participants tab and you can upload or invite individually.

Check-In and Follow-Up Modes

Check-In Attendees

As a host, to prepare for checking in attendees, you have to first activate your in-person host controls. Thankfully, it takes a couple of clicks, no scanner or app needed. Enabling host controls only has to be done once per event.

  1. Navigate to Participants tab within the event > three dots next to host name

  2. Select Copy Ticket Link and enter that into a browser

  3. This will bring up a page with your ticket and host controls button on top right.
    Once prompted for check-in code, paste in code from Registration tab in Sequel.


    4. Enter in code and you're ready to use your phone or tablet camera to check-in attendees!

If you miss anyone, you can always mark them as attended manually by hovering over their status in Participants tab and selecting check or X

Follow-Up and Data Sync

After the event, you'll select "Follow-Up" to move to a post-event mode where the data is ready to be synced to your CRM.

Statuses for registered and attended will pass for in-person and others for hybrid as applicable.
